Moore, Linda Nix, Marc Parrish and Ruth Lawrence ABSENT: Stephanie S. Sorensen STAFF IN ATTENDANCE: Eric Lashley and Richard Groves OTHERS IN ATTENDANCE: Judy Johnston (CTLS Lay Representative) MINUTES: The meeting was called to order by Linda Nix at 6:30 p.m. Ruth Lawrence moved that the minutes for June be accepted and the motion was seconded by Ruth Anne Mallory. The motion was passed unanimously. DIRECTOR'S REPORT: Enc Lashley announced the passing of Dixie Hanna. Dixie, a city employee for twenty years and the only person on the library staff who had worked at all three City library buildings, died Tuesday night of a heart attack. Until a few years ago, when other staff members began selecting media materials, Dixie selected all of the adult books, audios, and videos that the library purchased. Dixie continued to work on her book orders until she left work yesterday. The Georgetown Public Library will be closed on Saturday morning to allow library staff to attend the memorial service for Dixie. He also advised the board members of upcoming events at the library. He also provided the following information: • Library activities were up for August. • On October 2nd Fish City Restaurant in Georgetown will donate 15% of sales to Friends of the Library. o The Harry Potter Party on July 21s` was heavily attended. ® Credit card usage started in June and is running about $1000 a month. o The library budget, which includes an increase of $10,000 in the book budget and more money for staff training and supplies, has been approved by the City Council. The City budget also includes $250,000 to begin planning for improved downtown parking. • Director Lashley introduced new staff member Richard Groves. Richard explained his duties and his background. • Director Lashley advised the board that he had received a complaint from a patron about the cover of a book that was on a display shelf. He attempted to contact the patron about the matter but was unable to reach the person. He did, however, leave a message giving his decision that the book would remain on the shelf. • Director Lashley described some of the recent building issues and how they will be corrected They included: Air conditioning problems Paint for the classroom A/C duct sweating Floonng replacements Dixie Hanna's family members asked the public to donate memorials to the library and the Director advised that the monies from the donations would possibly be used to install a stained glass window in the library • The director discussed with the board his possible clothing standards for staff. Judy Johnston provided information on the activities of the CTLS. In a continuation of the monthly "board member introduction period," Ruth Anne Mallory gave members a brief biography. Member Allison Dolan -Hanna moved that the September meeting be adjourned. P.J. Moore seconded the motion. The motion was carried unanimously at 7:52 p.m. Respectfully submitted, Marc Parrish, Secretary ct) 14. 114 Linda Nix, Chair DIRECTOR'S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY June - August 2007 HIGHLIGHTS • Circulation during June and July was approximately 20% more than during those months in 2006. • The children's summer reading program was financed this year by a gift of $5,000 from the Rotary Club of Georgetown. Ms. Rosa's calendars of events for June and July included seventeen special performances, weekly craft programs, storytimes with Mary Beth Huba, and a special midnight party to celebrate the publication of the final Harry Potter book. All programs were very well -attended. • The summer program for teens, headed up by Bethni King, the young adult librarian, was also very successful. A gift of $2500 from the Friends of the Library financed the Friday afternoon events that spotlighted a different country each week. Besides enjoying country -appropriate food, the teens were decorated by a henna tattoo artist, learned how to make pasta, listened to an African storyteller, and learned about Trish music, Faberge eggs, and how to speak Chinese. Their favorite program, however, was the Wii Olympics. Ms. King hopes to build on the teens' interest in electronic gaming during her fall programs. • Julie Kenner, the second author in the Friends' fund-raising Hill Country Authors Series, spoke to a crowd of about 100 on August 1. An engaging author who lives in Georgetown, she writes for young adults as well as adults and had earlier appeared at no charge at one of the teen Friday afternoon events. • During July the library began accepting credit cards for payment of library fines and fees. This is a service that people have been requesting for a number of years but the City had not been able to provide a cost- effective electronic infrastructure until recently. Since June, receipts from credit card transactions have been approximately $1000 per month. • The librarians took a close look at the check-out rates of books on cassette and videos to determine whether they were worth the large amount of shelving they're occupying. The verdict was to begin phasing out these two formats. The audio cassette collection was weeded heavily and the culled items were given to the Friends' bookstore. No new items will be added in either of these formats. STAFF • Suzette Davidson joined the staff on June 18 as the reference librarian. She has been busy since then organizing the reference desk on the second floor and spending her book budget. • On July 2, Therese Fernandes came on board as a library assistant in public services. She previously worked for the Leander Public Library. Billy Cryer, a public services library assistant, resigned effective July 20. • Richard Groves, our new adult services librarian, began work on August 13. Within two weeks he had a survey available in the lobby and online, seeking input about what kind of adult programs our patrons want. VOLUNTEERS • Teen volunteer worked a record 445 hours during June, more than double their hours in any previous month —ever! They were working to support Ms. Rosa's programs and many more were working on the teen program than in the past. The library's Teen Advisory Board planned and carried out the summer program for teens. . In summary, these are the changes that were made to each document: LIBRARY ADVISORY BOARD ARTICLE II. MEMBERSHIP Section 2.1 Number of members. The Board is to be composed of seven (7) members. Section 2.4 Term of Office. The term of office for members shall be two (2) years, with a maximum of two consecutive terms allowable, with exceptions as provided in Ordinance 2007-16. Normal yearly appointments shall be made in February. Terms Section 2.9 Removal from Office. Any member of the board may be removed from their position for any reason or for no reason by a majority vote of the City Council. ARTICLE II. MEMBERSHIP Section 2.1 Number of members.
