MINUTES.
The meeting was called to order by Chair Linda Nix at 6:30 PM. Because there were no comments
concerning the April minutes, the minutes were approved as distributed.
DIRECTOR'S REPORT:
Director Lashley reported that circulation was slightly up for the month of April. He also pointed
out that the library is now tracking meeting room usage. Volunteer hours were also dramatically
up for the month of April.
A greeter desk has been installed in the lobby to help direct patrons to areas of the library and to
assist meeting room users.
Richard Groves organized an Earth Day event on April 22 that received good response from the
community.
Eric reported that the new Cataloging Librarian, Laura Evans, willbegin work on May 19th.
Eric shared the comments patrons have been leaving for the staff and this will be a new feature in
the Director's Report each month.
CONSIDERATION OF AND POSSIBLE ACTION ON THE FOLLOWING:
Ruth Anne Mallory introduced herself to the board. She talked about her education and
career as a teacher in Emporia, Kansas. Ruth Anne and her second husband decided to
move to the Sun City development to get away from the cold. She still has family in Kansas
and travels often to see them. She is a big reader and was glad to have the opportunity to
serve on the Library Advisory Board.
Suzette Davidson was introduced to the board Suzette retired from the Army in 2000 and
decided to move to the Sun City development here in Georgetown. Suzette is from a
military family that lived all over the world Her son is currently serving m the military in
Kansas. Suzette s dream was to become a librarian and shortly after moving to
Georgetown, she began graduate school in Library Science at the University of Texas.
Suzette is currently the library's Reference Librarian, responsible for the reference
collection, the Baffle the Bookworm column in the Williamson County Sun, and the
purchasing of many of the nonfiction collections.
■ Ruth Ann Mallory and Linda Nix reported to the board the latest meeting of the Library
Technology Advisory Committee. The Library Technology Advisory Committee met with
Xan Charbonnet of Biblionix, Inc. on April 23, 2008. The library is considering moving
from the Horizon Integrated Library System (ILS) to the Apollo ILS — produced by
Biblionix. Both Ruth Anne and Linda were very impressed by the options that patrons can
use in the new system. They were also impressed by Xan Charbonnet. They were
concerned that because the company consisted of only two employees, there may be a
danger in going with. Apollo and something unforeseen happening to an employee. Eric
reported that he and Gretchen Pruett and Sally Bernier visited the Westbank Community
Library m Westlake Hills and were very impressed by the Apollo system.
■ Director Lashley reported that there are still plans to do a bookmobile with the school
district this summer.
■ David Ciambrone reported to the board that Director Lashley attended the May 1 meeting
of the San Gabriel Writers' League. the San Gabriel Writers' League has formed a
committee to look into ways to improve the relationship between the library and local
authors. David reported that the group has drafteda. plan and he distributed the status of
the plan to the board (see attachment). Eric reported that the library would be creating a
local author link on our web site and a localauthors shelving area within the library to help
promote local authors.
■ Director Lashley distributed the calendar of events for the children s and teens' summer
reading programs.
■ Director Lashley provided information concerning the possibility of a tool -lending library.
Eric was interviewed by the Chisholm Trail Community Foundation for their newsletter in
April. In that interview, Eric was asked what program or projects are you considermg that
no one knows about? Eric said he always wanted to have a tool -lending library. The
Williamson County Sun heard about this idea and decided to run a front-page story. Since
the article appeared, Eric has had numerous citizens contact him about helping with the
tool -lending library. At this point, there are no solid plans for the tool library. the project
is still in the planning/assessment phase.

HIGHLIGHTS
• The teen area transformation continued with wall decorations being installed and three
booths and a bookcase put in place.
• Public services staff members began taking turns at the greeter desk in the lobby. While
this desk's function is still evolving, it seems to be attracting long-time library patrons who
use it as a way to bypass lines at the circulation desk as well as newcomers who have
questions about the library's layout and policies.
• Richard Groves, the adult services librarian, coordinated events and displays for Earth Day
on April 22. He had speakers and a movie in one of the meeting rooms and displays from
local businesses and organizations in the lobby and outside the south entrance.
• Kathleen Bowling, Bethni King, and Therese Fernandes coordinated the volunteer
recognition reception on April 30. Approximately fifty volunteers attended the event.
• On April 1, Eric Lashley and Rosa Garcia spoke to the Sun City Kiwanis Club. The club
gave the library $1500 to use for the summer reading program, continuing their tradition of
support for Ms. Rosa's work.
• Richard Groves, Gretchen Pruett, and Eric Lashley attended the annual conference of
the Texas Library Association, which was held in Dallas, April 15-19. Eric was inducted as
treasurer of the Public Library Division of the Texas Library Association.
• On April 22, Eric Lashley and Judy Fabry met with Chris Dyer of the Williamson County
Historical Museum, Marsha Farney, and Paulette Taylor to discuss an oral history project
focused on Georgetown's school for black students, which functioned until the late-1960s.
VOLUNTEERS
Volunteers who attended the recognition reception introduced themselves and spoke briefly
about the work they do for the library. Tasks ranged from professional -level work such as
cataloging and collection analysis, through mentoring and homework help, to checking in
and shelving. Kathleen Bowling, volunteer supervisor, emphasized the increasing number
of hours volunteers are putting in at the library-752 in April 2008—and the importance of
that amount of time to the operation of the library.

Comment: Why aren't there any parking spots available?
Response: The library has seen an increase in usage since it opened in January 2007.
Public meetings, additional library programming, and the Red poppy Coffee Company
have generated more visitations to the new library. The Library is taking a number of
steps to increase parking for our patrons.
1. Library staff members DO NOT park in the library parking lot. Nineteen pull -in
parking spaces are to be constructed in May 2008 in the front of the library on 8 'h
Street.
2. The City of Georgetown is considering building a new parking garage at the
comer of 8 1h Street and Martin Luther King Jr. Street.
3. In the meantime, the City has gained permission from Williamson County to use
the gravel lot located at 8h and Martin Luther King Jr. Street for special event
parking for the library. This should alleviate parking concerns during large events
at the library.
Comment: Too many Science Fiction/Fantasy books on the new book shelves. Please
buy more regular fiction.
Response: There do seem to be a lot of Science Fiction and Fantasy titles on the new
book shelves right now -and that is a good thing! We started a project last year to fill in
the missing titles in many of our most popular fiction series. We began with Science
Fiction and then moved to Fantasy. These series are now mostly complete, and the books
that we purchased for this project are still on the new book shelves. Most of them will be
moved to the upstairs shelves shortly.
Our next series completion project is beginning now and it is to fill in the Inspirational
Fiction series. You will soon see many more of these titles on the new book shelves.
After we finish these series, we will focus on the Mystery series, then Westerns and then
those few other series that appear in just fiction. In the meantime, if you notice some
gaps in our collection, please let a staff member know and complete an item request form
giving us the author and series title.
Comment: It would be awesome if there was a rating system in place for Young Adult
Fiction (i.e.: V for violence, L for language, etc.).
Response: A rating system for young adult materials is a nice idea. Many people would
find something similar to the rating system for movies, television shows, and video
games helpful. Of course, at this time there is no such system in place for books. And no
library employee has time to go through every book and rate them. The best thing to do
is pay attention to what your kids are reading. Be aware that the young adult collection at
the library serves a wide age range and that not every book in the collection is suitable for
every child. Read the books first or with your child if possible. Check out reviews and
book descriptions at places like Amazon.com. Lastly, try to discuss the books with your
children. Have conversations with them about language, themes, events, characters,
ideas, etc. found in any young adult material. And please feel free to ask the library staff
for help or recommendations. There is a Young Adult Librarian on staff. Her name is
Bethni King and she would be glad to help.
Comment: I would like to have small tables like other libraries. The study rooms are not
available sometimes and the large tables are over full most of the time. Small cubbyhole
tables are so convenient for individuals.
Response: In the future, we may add a few library carrels on the second floor. During
the design of this library, we made a conscious effort to provide more comfortable lounge
type furniture as opposed to more traditional library furniture. The design of the
countertop on the second floor was intended for individual users. If the tables next to the
reference desk are full, I would suggest using the tables in the Texas History Room or the
table outside the study rooms for privacy.
Comment: The book: A Bad Case of Stripes
Response: Thank you for your suggestion of a book for the library to order. We love to
get your requests. In fact, we have a form, an "Item Request Form", which any staff
member can give you. It has a place for your name and contact information. When an
item is ordered and arrives at the library, we fast track that item and get it in your hands
as quickly as possible.
If the library does determine that it cannot purchase the item you suggested, one of the
staff will contact you and let you know of other options available to obtain the item. We
participate in an Interlibrary loan system, and the TexShare program. Both of these
programs help us to get the item for you from another library at either no or a nominal
cost.
Comments: The handicapped opener in the upstairs women's restroom doesn't work.
Response: The switch to the handicapped door had been turned off. We were able to
restore service to the door immediately. However, we didn't receive the suggestion until
after 4 days after the date it was written.
If you notice a problem with the building or any library equipment, please notify any staff
member immediately.
Comment: Stop Smoking

9 Comment: Please move the music stand further away from the new books: tight space.
Response: We agree the space is tight. We traditionally kept music CDs near the
circulation desk to deter theft. The music CDs have traditionally been a high theft item.
The space between the CD case and the new book shelves meets the American With
Disabilities Act standards for aisle width. The staff will be looking at alternative
locations for the CD cases.
Comment: Two minute parking for those of us just running in to pick up a book on
reserve.
Response: We may try this in the future. As you may know, we did have 2 minute
parking at the old library for those that needed to drop materials at our outdoor bookdrop.
Enforcement may be an issue, but this may be worth trying. Thanks for the suggestion.
Comment: It is always so cold — save money- turn up the thermostat.
Response: Yes ... when I looked at our settings it was cold. We will be readjusting our
thermostats.
FYI, we try to keep the building around 72 degrees. We have found that at 72 degrees,
1/3 of our patrons are hot, 1/3 are cold, and 1/3 are just right. If it is below 72 degrees
3/4 are cold and 1/4 feel just right. If the temperature is above 72 degrees, 3/4 are hot,
but 1/4 feel just right. So going on the mathematical principal that 33% satisfaction is
better than 25 % satisfaction ..... we'll try and keep the temperature around 72 degrees.
Comment: Laptops available for patron use.
Response: We may have some laptops available for patron use in the future. The major
issue with laptops is the expense involved with the original purchase and the maintenance
of the computers. At this time, we cannot afford to provide laptop service.
Comment: Thanks for offering Book Page and having such a marvelous library.
Response: Thanks for the kind words.
Comment: San Antonio Express newspaper? Why don't you subscribe? San Antonio is
closer than Dallas or Houston.
Response: We did subscribe to the San Antonio Express in early 2007. The service was
extremely poor. We received copies days late if at all. We just received word that the
Houston Chronicle will no longer be providing service to this area. It is very costly for
out-of-town newspapers to service areas that have relatively few customers. We wish we
could provide these papers; they just aren't available in this area.

Comment: My granddaughter loved the "Peeps" tour of the library —made her want to
come!
Comment: Why can't the library have a bookdrop on the western side of town?
Response: Having a bookdrop on the western side of town would be very expensive to
operate. Currently, the library has no vehicle in which to deliver materials back to the
library. Also, a bookdrop would need to be checked on a regular basis and we do not
have the staff or resources to make this service available.
